VOLUNTEER AT THE CLASSIC WINES AUCTION

Volunteer your time with the Classic Wines Auction and help us produce some of the best and most recognized food and wine events in the country. 

As the producers of one of the largest charity wine auctions in the United States, we rely on the support of talented volunteers to help us raise funds for our partner charities. Since 1982, we have raised more than $40 million to support more than 850,000 children and families in the Portland and southwest Washington communities.

Every year, we need more than 500 volunteers to help us produce extraordinary food and wine events including the Classic Wines Auction in March, our Corks and Forks urban wine tasting event in June and our newest event, the Oregon Polo Classic in July. We rely on volunteers to provide a variety of functions at each of these events, but above all else our volunteers help provide guests with an extraordinary event experience that can only come from a Classic Wines Auction production.

If you are interested in volunteering with us, please read through the information below for our most current volunteer needs. A majority of our volunteer positions for most events come with a complimentary meal, refreshments and parking on the day/night of your volunteer shift.

All volunteer assignments for all events are made on a first-come, first-serve basis. When you are ready to volunteer, fill out the online volunteer interest form and you will be contacted by our Volunteer Director. WHAT DOES AN AUCTION VOLUNTEER DO?

Thank you for your interest in volunteering with the Classic Wines Auction. We appreciate that volunteers are vital to our success. We want each volunteer’s experience to be positive, rewarding and fulfilling. The Classic Wines Auction maintains the highest quality standards of service for our guests and requires volunteers to provide the same. Below are guidelines for participating as a volunteer for the Classic Wines Auction.

 

Volunteers are Responsible For:

  • Prompt arrival at the scheduled time for your volunteer shift. The position you fill is vital to our activities. The people you are volunteering with depend on your attendance.
  • Checking in upon arrival so we know that you have arrived and can update you on any last minute changes.
  • Wearing your name badge or other identification at all times, identifying you as a volunteer and available to answer questions from guests.
  • Paying Special attention to your assigned meal time. Your job description has a specific time that a meal will be available. Please make a note of it.
  • Bringing any questions/concerns/suggestions to your Team Leader or the Volunteer Director at an appropriate time.
  • Completing the duties associated with your position unless otherwise directed by the Team Leader, Volunteer Director or Classic Wines Auction staff.
  • Being flexible. We have tried to prepare for as much as we can, but new issues may arise. Please help us by being flexible and patient while volunteering.
  • Checking out: once you are released, please check out where you checked in so we may take the opportunity to thank you and offer you a token of our appreciation.

Volunteers are subject to the following policies of the Classic Wines Auction, Inc.:

  • Volunteers working during the auction (4pm-11pm) must be 21 years of age or older. Persons under 21 may volunteer for other positions during the day or on other days where volunteers are needed.
  • Volunteers represent CWA and its benefiting charities while volunteering, so we expect they act in a professional, courteous and helpful manner to each other and our guests.
  • Volunteers will not be allowed to consume alcohol while in the Oregon Convention Center and during their volunteer duties.
  • Volunteers shall be assigned job tasks in accordance with the organization’s needs and desires.
  • All activities of CWA volunteers and volunteer groups shall be under the direction of a CWA representative.
  • Volunteers shall participate in any required training or orientation needed for their assignment.
  • All food, wine and entertainment at the Classic Wines Auction are for registered guests. As a volunteer, you may enjoy food and beverages served in the volunteer meal area.

Walla Walla Wine @ LeftBank Event (February 27, 2017)

  • Assist in pre-event set up during the day at LeftBank Annex Portland (NE Rose Quarter District)
  • Assist with greeting and clean up at the event in the evening

Dress for set up is comfortable, jeans OK; dress for evening is business, requires standing and walking for up to three (3) hours

Ambassadors Dinner Set-Up (March 3, 2017)

  • Assist in pre-event set up at the Portland Art Museum
  • Preparations include placing table toppers, chair covers, centerpieces and other items in their proper locations
  • Wrap attendee gifts and other task as requested

Comfortable dress, jeans OK; requires standing, some lifting, use of fine motor skills and walking for up to three (3) hours

Auction Decor (March 3, 2017)

  • Assemble centerpieces and prepare them for trasport
  • Assembly takes place at Geranium Lake Flowers located at 555 SW Oak St # 1H

General Auction Set-Up (March 3-4, 2017)

  • Assist in pre-event set up during the day on Friday and/or Saturday at the Oregon Convention Center
  • Live, silent, super silent and “but it now” area set-up includes placing auction packages and signage in correct locations, verifying items and using décor to enhance displays
  • Table set up includes distributing chairs, placing table linens, centerpieces, menus and gifts
  • Other tasks could include lifting heavy items (25 lbs)

Auction Registration Set-Up (March 4, 2017)

  • Assemble guest registration materials (400+ couples)
  • Includes very detailed organization of bidder numbers and verifying information is filed correctly

Auction Volunteer Hospitality (March 4, 2017)

  • Assist volunteers who wish to check their coats
  • Position will have periods of slow activity. Brining a book or other project to pass the time is reccomended.

Auction Table/Room Set-Up (March 4, 2017)

  • Table preparation includes placing table toppers, chair covers, centerpieces and other items in their proper locations

Silent Auction Steward (March 4, 2017)

  • Monitor a designated area of the Silent auction
  • Guard auction items against theft
  • Assist guests in locating auction packages and encourage bidding

Dress for this position is business or cocktail attire, requires standing and walking for approximately three (3) hours

Auction Greeter (March 4, 2017)

  • Greet and assist guests in locating registration, silent, super silent, live auction and “buy it now” areas, wine tasting stations, restrooms, coat check, ring toss, etc.
  • Outgoing personality and customer service skills are critical for this position

Dress for this position is business or cocktail attire, requires standing and walking for approximately four (4) hours

Auction Ring Toss (March 4, 2017)

  • Encourage guests to play the ring toss game; track guest bidder number or accept cash payments. Run game according to instructions

Auction "Buy it Now!" (March 4, 2017)

  • Assist guests and answer questions about how to sign up for (buy) live auction packages that are sold per person or per couple for a fixed price.
  • Outgoing personality and customer service skills are encouraged for this position

Dress for this position is cocktail attire or tuxedo, requires standing and walking for approximately four (4) hours. Tuxedos (for men or women) are provided courtesy of Mr. Formal. You will be given a card to present to Mr. Formal when renting your tuxedo.

Ballroom Usher (March 4, 2017)

  • Direct guests to their assigned table in the ballroom (guest list and maps are provided)
  • Outgoing personality and customer service skills are necessary for this position

Dress for this position is cocktail attire or tuxedo, requires standing and walking for approximately two (2) hours. Tuxedos (for men or women) are provided courtesy of Mr. Formal. You will be given a card to present to Mr. Formal when renting your tuxedo.

Live Auction Spotter (March 4, 2017)

  • Work designated area of the ballroom during the live auction to encourage bidders; high energy volunteers needed here!
  • Point out bidders to the auctioneer using light stick
  • Spotters are required to remain in their section until the end of the live auction (breaks provided)

Buyer Appreciation (March 4, 2017)

  • Assist in celebratory acknowledgement of winning bidders during the live auction; high energy needed here!
  • Congratulate successful bidders and thank them for their support

Table Concierge (March 4, 2017)

  • Assist guests with at-table wine purchases

Dress for this position is cocktail attire or tuxedo. Requires standing and walking for up four (4) hours. Tuxedos (for men or women) are provided courtesy of Mr. Formal. You will be given a card to present to Mr. Formal when renting your tuxedo.

Live Auction Wine Handler (March 4, 2017)

  • Work with Wine Stewards and Item Pick Up volunteers to transport packages, after they have been sold, from the ballroom to the Item Pick Up area. Shopping carts provided for transport
  • Wine handlers are required to remain in their position until the end of the live auction and until all items have been transported to the Item Pick Up area

Dress for this position is black slacks and white shirt (no jeans), requires standing and walking for up to four (4) hours, must be able to lift 50 pounds

Live Auction Wine Steward (March 4, 2017)

  • Exhibit bottle(s) or item(s) on stage as the auction package is presented for bidding
  • Must be able to lift 50 pounds

Live Auction Runner (March 4, 2017)

  • Work in the ballroom during the live auction
  • As packages are sold, take live auction paperwork from clerk near stage to guest for signature, then to staff at registration
  • Runners are required to remain in their section for the entire duration of the event (breaks provided)

Auction Clean-Up (March 4, 2017)

  • Transport wine and other items from foyer, ballroom and item pick up area to storage room after guests have departed
  • Transport signage, supplies and other materials to the storage room
  • Be able to stay, if needed, until 1:00am

Comfortable shoes, jeans, t-shirt, must be able to lift 40 pounds, shift will be after the auction at night. Note that TriMet public transportation service may end before the shift is over

Sunday Deliveries (March 5, 2017)

  • Deliver Auction purchases to buyers homes
  • Use of personal vehicle is required

Volunteer Registration Process:

  1. Fill out our online volunteer interest form and indicate which volunteer position(s) interest you. After submitting your registration form, you will automatically be sent a copy of your submission.
  2. You will receive your confirmed volunteer assignment and description by Saturday, February 4, 2017 along with more information about your position from the Classic Wines Auction Volunteer Director.
  3. Attend the 2017 Classic Wines Auction Volunteer Orientation at the Oregon Convention Center. The 2017 Volunteer Orientation will be held the week before the Auction. Exact date, time and location of this training is still to be determined.
